Kanso Software Acceptable Use Policy
Effective date: October 15, 2026
Who this policy applies to
This Acceptable Use Policy sets the rules for using software and services from HDS LLC, doing business as Kanso Software ("Kanso"). It applies to Kanso, HDS and Kanso Assist (formerly ReFrame Assist), including their portals, mobile app and websites (the "Services"). It applies to every person who uses the Services: our Customers' staff, and the applicants, tenants, owners, landlords and vendors who use our portals. Customers are responsible for making sure their users follow it. This policy is part of our Terms and Conditions (kansosoftware.com/terms-conditions) and works alongside our Privacy Policy.
Accounts and access
Keep your login details private. Do not share your username, password or multifactor codes, and do not use anyone else's account.
Use only the access your organization has given you. Do not try to view, change or delete information you are not authorized to see.
Customers are responsible for giving users the right roles and permissions, and for removing access promptly when someone leaves or changes roles.
Tell your organization's administrator and Kanso right away if you think your account or the Services have been compromised.
Prohibited uses
You may not use the Services to:
Break the law, including housing, fair housing, privacy, consumer protection and antidiscrimination laws.
Get unauthorized access, such as bypassing security controls, probing or scanning our systems, or testing for vulnerabilities without our written permission
Harm the Services, such as uploading viruses or malware, or doing anything meant to disrupt, overload or degrade the Services for others
Misuse data, such as collecting or exporting information you have no business need for, or using it for purposes your organization has not approved
Deceive people, such as phishing, impersonating someone else, or sending false or misleading information
Harass or discriminate, including threats, bullying, or offensive or discriminatory content in notes, documents or messages
Upload harmful content, such as material that is obscene, defamatory or infringes someone else's rights
Copy or resell the Services, including reverse engineering, scraping, or building a competing product from them
Overuse resources, such as automated requests or bulk activity that puts excessive strain on the Services
Customer data and messaging
Customers own the data they put into the Services and are responsible for how they collect and use it.
Lawful collection. Collect only the information your programs need, with any notices and consents the law or your program rules require.
Sensitive data. Enter Social Security numbers, income and similar sensitive information only in the fields built for it, never in free-text notes, file names or messages.
Text messages. Send texts only to people who have opted in, honor STOP requests, and use texting only for program and service messages, never marketing.
Email and documents. Send letters, notices and emails only for legitimate program purposes, to people connected to your programs.
Monitoring and enforcement
We monitor use of the Services to keep them secure and to enforce this policy. If we believe this policy has been broken, we may remove content, suspend or end a user's access, notify the Customer, or involve law enforcement. When we can, we will work with the Customer before taking action, unless waiting would put people, data or the Services at risk.
Reporting a problem
If you see a security issue or misuse of the Services, tell your organization's administrator and email support@kansosoftware.com.
Changes
We may update this policy. We will post the new version on our website in the footer menu of our Services, with its effective date at the top.
